Job management apps help improve trade margins by plugging the leaks that quietly eat your margins. These include unbilled hours, materials you forgot to charge, and quotes that were too low. It logs everything as you go, so you're quoting off real numbers and invoicing the second the job's done.
Don't want to read everything? Skip on ahead!
Trade margins don’t disappear in one big hit. It drains away, job by job, in small amounts that feel too minor to chase, but add up to a lot by the end of the year.
That's the problem job management software solves. Not "running your business better" in some vague sense, but plugging the gaps where your money quietly leaks.
Before going into what that right tool in your pocket is, here’s showing you where your money actually leaks out from:
Each of these is a small problem. But when you add them up, that’s where you start losing money. That's exactly what job management software is built to fix.
Job costing simply means tracking what a job actually costs: labour, materials, subcontractors, overheads, and comparing that to what you quoted.
It matters because you can be running flat out, winning work, fully booked, and still not making money if your quotes are below your real costs. Job costing is the difference between knowing your margins and guessing.
Get it right, and you'll see which jobs are actually profitable, reprice the ones that aren't, and stop quoting off gut feel.
Manual job costing has always been a bad idea because it relies on memory. If you scribble your hours on a paper timesheet at the end of the day, or worse, the end of the week, you are probably already remembering the wrong info. You’d probably have forgotten the materials pulled from the van and picked up on site.
And in the case you get it right, you may find out that the job is over budget, but you’ve already underquoted the customer. Too late, you’re swallowing the loss.
With job management software, you get to record everything in real time. That way, you quote the right price to make a profit.
Profit margins are set when you quote your customer – before you even start any work. If you quote too low, you still have to do the job knowing that you’re losing money on it. That’s why guesswork is always a bad idea.
A good quoting tool in your pocket is easy to use and remembers all your price lists, material lists, labour rates, and historical job data. It lets you check similar jobs you’ve done in the past, and over time you’ll start knowing exactly how much you’re making on each job.
That's the difference between guess-working your profit margins and using job management software to help you. And that’s what apps like Tradify are designed to do – help you stop the guesswork and possibly wrong gut feelings for the numbers.
Tradify's own data from 3,000+ UK trade businesses (June 2025 to May 2026) shows most trade businesses aren't losing work at the quoting stage:
| Trade | Avg. Annual Invoiced Revenue | Quote Win Rate |
| HVAC | £428,538 | 85% |
| Property Maintenance | £345,357 | 85% |
| Electrical & AV | £282,843 | 86% |
| Landscaping | £258,714 | 74% |
| Plumbing & Gas | £255,667 | 86% |
| Carpentry & Renovations | £254,452 | 78% |
Based on Tradify's own data from 3,000+ UK trade businesses, June 2025 to May 2026.
Electrical and plumbing businesses win 86% of the quotes they send. For most trades, the margin question isn't about landing more jobs; it's about making sure the jobs you're already winning are actually profitable. That starts with accurate quoting, and accurate quoting starts with knowing what your jobs actually cost.
Tradify's 2026 AU Trades Report, drawn from over 10,000 Australian trade businesses, shows a similar pattern, with revenue spread significantly across trades and business sizes:
| Trade | Avg. Annual Invoiced Revenue (AU) | Quote Win Rate |
|---|---|---|
| HVAC & Refrigeration | A$1,054,023 | 87% |
| Residential Renovations | A$964,191 | 85% |
| Plumbing & Gas | A$801,654 | 87% |
| Electrical & AV | A$753,561 | 85% |
| Property Maintenance | A$670,961 | 85% |
| Carpentry | A$633,933 | 76% |
| Landscaping | A$595,684 | 83% |
Based on Tradify's 2026 AU Trades Report, 10,000+ Australian trade businesses. Revenue figures represent invoiced revenue, not profit.
One of the standout findings: plumbing businesses have overtaken electricians as the top earners at the business level of A$801,654 vs A$735,562 on average. At the sole trader level, the gap is narrower: electricians average around A$282,520 and plumbers around A$333,781. The difference increasingly comes down to how businesses manage jobs, teams and administration, not just the trade itself.
Quote win rates across AU trades are strong at 87% for Plumbing, Gas, HVAC and Refrigeration; 85% across Electrical, Property Maintenance and Residential Renovations. Again, the margin question isn't about winning more quotes. It's about making sure the ones being won are priced and tracked accurately enough to actually be profitable.
The time between finishing a job and sending the invoice is the time you’re missing money. Batch or monthly invoicing? That just makes it worse. It means you’re waiting to ask customers to pay, and then you still have to wait for them to actually pay up. Add all the jobs you’re waiting on payment for, and you have a serious cash flow problem.
That’s why having a tool in your pocket that quotes and invoices your customers together is great. All your hours, materials, and additional tools are logged, and you invoice them before you even drive away.
And according to tradie data from Tradify users, tradies who invoice on the same day get paid faster because it’s fresh in the customer’s mind.

Job management software – or that convenient tool in your pocket – is a great idea. But only if you find it easy to use and reliable. It should have everything you need without being too much. It has to be easy to add your hours, materials, notes, and photos. And customers need to find it easy to read, understand, and sign.
For multi-van teams, real-time updates also mean that the owner isn't the bottleneck. Everyone can see the schedule and job status without a check-in call.
And that’s a job app that, on a phone, closes that gap.
Your accounting software shows what you made last month as one number. A job management software breaks it down by the job, so you can see which jobs made money and which didn't.
This is important because a lump sum number doesn’t give you details of what each job cost. It doesn’t show you how much you earned on labour, materials, and travel. With a proper breakdown, you can spot which jobs are worth doing and which aren't.
If one type of job keeps costing more than you charge for it, you'll see it. If a certain customer or site always runs over, you'll see that too.
The businesses that know their numbers are the ones that are making money.
Job management software closes the gaps where money leaks. It doesn't fix underpricing if your rates are genuinely too low, and it doesn't fix cash flow if your payment terms are too long or your customers are slow payers by habit.
Those are separate problems and have to be tackled separately. But they're a lot easier to tackle once you can actually see your job costs clearly, instead of guessing.
Not sure if your rates are right? This charge-out rate calculator is a good place to start.
Technology alone can't fix a broken process either. Consistent, real-time data entry in the field is the foundation of accurate job costing. Always run a proper trial with your field team before committing to any platform.
