What is a Quality Control Checklist?

A quality control checklist is a simple way to make sure jobs are finished properly before your team leaves a site. It gives everyone the same list to run through at the end of each job, so things like cleanup, photos and testing don’t get missed once everyone’s ready to head home. It’s also a solid way to help apprentices and newer staff build good habits from day one.

1. When would you use a quality control checklist?

A quality control checklist gives trades teams something to refer to at the end of a job to make sure everything’s finished up properly. Not just the technical work, but how the place looks, any admin that needs doing, and how any information or invoices are handed over to the customer. It’s especially useful with apprentices or newer employees because it shows them exactly what’s expected. Depending on how your team likes to work, this could be a list they fill out on their phone, or a print out they can keep with them.

“If you leave a job without finishing your paperwork, you end up paying for that time." Michael Chaplin, Tweed Heads Electrical

2. What’s in a quality control checklist?

A quality control checklist typically covers everything needed to confirm the jobs been done well and the place is left in a good condition.

Technical work

Make sure everything is working as it should and ready for handover before leaving site. This includes checking all installed systems, fixtures, and fittings are operating correctly and that you've completed everything included in the quote or agreement.

Site presentation and cleanliness

Keeping things clean is part of the job, not an optional extra. Customers judge the quality of your work by what they can see, not just what’s been installed. Setting clear expectations for what a clean and tidy site looks like helps keep standards consistent across every job and keeps your reputation in check.

Documentation and proof of work

A key part of maintaining quality control means keeping job records accurate, whether that’s filling out paper records or adding photos, certificates, and job notes into a job management system like Tradify. This helps ensure everything is captured properly and nothing gets missed at handover.

Customer communication and handover

A job isn’t finished until the customer know's what’s been done and is happy to sign off. This includes ensuring any required sign-off or documents are provided. The final step ensures the job is properly closed off, including sending any customer follow-ups, setting up recurring maintenance, or sending out review requests.

3. How to create a quality control checklist

Start by thinking about what actually happens in the last 30–15 minutes of a job before you leave site. Once you download the template, use it to build out each section with clear, practical instructions that match the way your team works. If you find things are getting missed, avoid vague steps like “clean up” — spell out what that actually looks like, for example wiping down surfaces, removing protective tape, checking for boot marks, or cleaning up water spills.

Once you’ve added those specifics, save and share the checklist with your team. Then set aside time to walk them through it so everyone’s clear on how it should be used, when it needs to be completed, and how it gets handed back or recorded after each job.
